Work through one decision

  1. What are we paying?

Record the billing period, plan, seats, usage extras, renewal date, and relevant cancellation terms. Mark anything you still need to confirm.

  2. What job does it do?

Name the task, who uses it, and the finished result it helps produce.

  3. What depends on it?

List records, reports, client requirements, and connections that would need attention if it changed.

  4. What work remains?

Note copying, corrections, checking, and other steps people still perform around the tool.

  5. What could we use instead?

Consider a plan adjustment, better setup, an existing feature elsewhere, or a different tool. Include keeping the current arrangement.

  6. What would changing involve?

Identify setup, training, data transfer, overlapping subscriptions, update effort, and responsibility.

  7. What is confirmed and what is estimated?

Keep subscription costs, staff effort, and possible cash savings separate. Record the assumptions.

  8. What is the next sensible action?

Choose keep, adjust, compare alternatives, or investigate further. Add a reason, an owner, and a date to revisit it.

Then choose a next step

Keep. Adjust. Compare.
Or investigate a little further.

Write down your reason, who will act, and when you’ll revisit the decision. A clear answer may be all you need.

Once you know the next step, keep the charge, renewal date and notice deadline together in the free Software Renewal Tracker. Compare monthly equivalents with the full payments due each month.
